RentWarrior ("we," "us," "our") is operated by Warrior Financial Services LLC, an Illinois limited liability company. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use rentwarrior.com (the "Platform"), including our software-as-a-service for property management, rent collection, tenant screening, and related services.

By using the Platform, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Platform.

2.1 Information You Provide

Landlord Account Information:

• Name, email address, phone number
• Business name and entity information
• Mailing address
• Payment information (processed and stored by Stripe — we do not store full card or bank account numbers)
• Tax identification information for rent collection (handled by Stripe)

Tenant Account Information:

• Name, email address, phone number
• Date of birth (when applicable for screening)
• Current and previous addresses
• Bank account information for online rent payments (processed and stored by Stripe — we do not store full account numbers)
• Employment and income information (when provided for tenant screening)

Property Data:

• Property addresses and unit details
• Lease terms, rent amounts, security deposits
• Tenant ledger entries and payment history
• Maintenance request details and photos
• Document uploads (leases, notices, court filings)

Tenant Screening Information (when requested by landlord):

• Social Security Number (encrypted at rest)
• Credit, eviction, and criminal background information from third-party consumer reporting agencies
• Income verification documents

2.2 Information Collected Automatically

• Device and browser information (user agent, IP address, OS)
• Usage data (pages viewed, features used, timestamps)
• Cookies and similar technologies (see Section 8)

2.3 Information from Third Parties

• Payment and identity verification data from Stripe
• Consumer reports from authorized credit bureaus (CRS Credit API and similar) when conducting tenant screening

• Provide and operate the Platform
• Process subscription payments and rent collection
• Facilitate tenant screening at the request of landlords
• Send transactional notifications (rent reminders, payment confirmations, account alerts) via email and SMS
• Generate legal documents and reports

4. SMS and Email Communications

When you provide a phone number to RentWarrior, you consent to receive SMS messages including:

• Rent payment reminders and confirmations
• Maintenance request status updates
• Lease renewal and expiration notices
• Account and security notifications
• Platform updates

Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message or by removing your phone number from your account settings. Reply HELP for help. View our SMS terms in the Terms of Service.

5. How We Share Information

We do NOT sell your personal information. We share information only as follows:

Between landlords and their tenants: Information you enter is shared between the landlord and tenants on the same lease (e.g., ledger entries, maintenance requests).

With service providers who help us operate the Platform:

• Stripe (payment processing, identity verification, ACH transfers)
• Supabase (database hosting, authentication)
• Vercel (web hosting)
• Twilio (SMS delivery)
• Resend (email delivery)
• CRS Credit API and similar consumer reporting agencies (tenant screening, only when authorized by landlord and consented by applicant)

For legal reasons: We may disclose information when required by law, court order, or to protect our rights, property, or safety.

In a business transfer: If we are acquired or merge, your information may be transferred to the new entity.

6. Tenant Screening and FCRA Compliance

When a landlord requests a tenant screening, the prospective tenant's information is processed in accordance with the Fair Credit Reporting Act (FCRA). Applicants must provide written consent before any screening is conducted. Screening reports are generated through authorized consumer reporting agencies and shared with the requesting landlord in summary form. Applicants have the right to dispute inaccurate information directly with the reporting agency.

7. Data Security

We implement industry-standard security measures including:

• TLS encryption for data in transit
• Encrypted storage of sensitive data (including SSNs)
• Role-based access controls
• Regular security audits

Despite these measures, no system is 100% secure. You are responsible for maintaining the confidentiality of your account credentials.

8. Cookies and Tracking

We use cookies and similar technologies for authentication, analytics, and platform functionality. You can control cookies through your browser settings, but disabling them may affect Platform functionality.

9. Your Rights

Depending on your location, you may have rights under applicable privacy laws (including the California Consumer Privacy Act and Illinois Personal Information Protection Act) including:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information (subject to legal retention requirements)

10. Data Retention

We retain account information while your account is active. After account closure, we may retain data for up to 7 years to comply with tax, accounting, and legal obligations. Tenant ledger and lease records may be retained longer if required by Illinois landlord-tenant law.

RentWarrior is not intended for users under 18. We do not knowingly collect information from children.

12. International Users

The Platform is hosted in the United States. By using the Platform from outside the U.S., you consent to the transfer of your information to the U.S.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-Platform notice. The "Last Updated" date at the top reflects when changes were made.
